Before we begin, please reference Management Directive 505.18, Maintenance, Access, and Release of Employee Information. As an HR Professional, you are bound to maintain the integrity of employee information that you have access to for performing your job, and you should access employee information only to perform the duties of your position.  Additionally, you must be cautious as to whom the information is disclosed.  If in doubt, please ask!

4: What is IRIS?

You may have heard the term IRIS, but exactly what is IRIS? IRIS is the Interim Reporting Information System used by agency HR offices to run reports on current personnel data.  HR professionals use Microsoft Access to create their own custom reports using IRIS tables that contain data elements.  These data elements in IRIS are refreshed at the close-of-business each Friday.  Data in most views is frozen twice each year and is available in a series of "frozen" views.

5: The Access Database

Microsoft Access is a Relational Database Management System for Windows, which is a computer-based program that can contain multiple tables related through common fields.  It enables you to store, organize, and manipulate collections of information in an electronic format.  After information is stored in the database, the database program enables you to manage it in a variety of ways.

6: Locate IRIS Table

To design a Retirement Projection query, we must first locate the IRIS table that contains the data we will need. Let’s learn how this is done in an Access Database.

7: Locate IRIS Table

To locate an IRIS table, open a blank Access Database and click the External Data Tab, click New Data Source, click From Other Sources, then ODBC Database. Then select Link to the data source by creating a linked table, and then click OK. Select the Machine Data Source tab, then select CMIC and click OK. You will then be prompted enter your CMIC Username and Password, and then click OK. Scroll down and highlight PPI.SAP_RETIREMENT_SVS_IRIS and click OK. When the next box appears, just click OK. You have now added this IRIS table to the Access Objects area.

8: Retirement Projection Query

The Retirement Projection query we are going to create is a list of employees for an organization, in which we will display the organization number, organization name, employee last and first name, employee job title, age, service years, remuneration pay periods, SERS total service years, and work contract. We will be able to create this query using the Retirement Service IRIS table.

9: To Create This Query

Under the Create tab, select Query Design. Select the PPI_SAP_RETIRMENT_SVS_IRIS table and click Add. Then click the close button. From the table, locate and double click the following: ORG_ID, ORG_NAME, EMP_LAST_NAME, EMP_FIRST_NAME, JOB_NAME, AGE, SVS_YRS, REM_PPDS_SERS_TOT_SVC, and WORK_CONT. As you double click each item, they will appear in the area at the bottom. In the criteria row under ORG_ID, enter the org code range. In the JOB_NAME field, enter: Not Like “Bus Prtnr/Cntrctr” in the criteria row. In the WORK_CONT field, enter SS to capture only salaried positions. Since we only want to see filled positions, we must enter a “F” in the criteria row under POS_ST and uncheck the box in the show row. Then click the View button at the top left-hand side of the screen to see the results of your query. To export to Excel, click Excel under the External Data tab.

10: Wrap Up

This age and longevity data will be valuable to the managers and supervisors of your organization to analyze how close employees are to retirement. Retirement is a life-changing decision. While an employee may be eligible to retire, there are many factors that affect that decision, and therefore, determine when they leave an organization. Eventually, retirement will arrive. By having this data, managers and supervisors will be better equipped to enable planning for and decision-making about the organization and its workforce.
